Managing Breakout Rooms

While breakout rooms are active, moderators have access to a management panel in the main room. From here, you can monitor rooms, send messages, extend time, and end sessions early.

Monitoring Breakout Rooms

Once breakout rooms are active, the moderator sees an overview panel listing all breakout rooms in the main room. This panel shows which participants are in each room.

Open the breakout room management panel in the main room.

Click on any room name to join that breakout room as an observer or helper.

Switch freely between rooms to check on progress, answer questions, or provide guidance.

You can move between breakout rooms as often as needed. This is a great way to check on each group's progress without disrupting their work.

Sending Messages to All Rooms

From the breakout room management panel, you can send a text message to all rooms at once. The message appears in the chat of every active breakout room, making it ideal for announcements or time reminders.

In the breakout room management panel, locate the message input field.

Type your message and send it. The message will appear in the chat of all breakout rooms simultaneously.

Managing Time

You can adjust the remaining time for breakout rooms while they are active:

  • Extend time — increase the countdown if groups need more time to finish their tasks.
  • Countdown display — participants in breakout rooms can see the remaining time at all times.

Ending Breakout Rooms Early

If groups finish ahead of schedule, you can close all breakout rooms at once from the management panel. All participants are returned to the main room.

A 60-second warning is displayed in all breakout rooms before they close — whether the rooms are ending automatically or being closed early by a moderator.

Automatic Room Closure

When the configured duration expires, breakout rooms close automatically. Participants receive a 60-second warning before the rooms close, and everyone is returned to the main room.

Chat history, whiteboard drawings, and shared notes from breakout rooms are no longer accessible after the rooms close. Remind participants to export any important content before time runs out.
